Terms & Conditions | HVPT — Harry Vine Personal Training

1. Introduction

These Terms & Conditions (“Terms”) govern your use of the services provided by Harry Vine Personal Training (“HVPT”, “we”, “us”, “our”), including membership, class bookings, personal training sessions, and use of the HVPT member app and website.

By becoming a member, booking a session, or using our facilities, you agree to be bound by these Terms. If you do not agree, please do not use our services.

2. Membership

Memberships are monthly rolling subscriptions, billed automatically via Stripe
Cancellation requires a minimum of 30 days’ written notice sent by email to harry@harryvinept.co.uk
No refunds will be issued for partial months
HVPT reserves the right to refuse or revoke membership at its sole discretion, including for breach of these Terms or the Code of Conduct

3. Class Booking & Cancellation

Classes must be booked through the HVPT member app or website
Free cancellation is available with 24 or more hours’ notice before the class start time
Late cancellations (less than 24 hours before the class) will consume one class credit from your membership allowance
No-shows (failing to attend a booked class without cancelling) will consume one class credit
HVPT may cancel or reschedule classes with reasonable notice. Where this occurs, any credits consumed will be refunded to your account

4. Personal Training Sessions

Personal training (PT) sessions may be booked and paid for individually or as part of a package
The 24-hour cancellation policy applies to all PT sessions
Late cancellations (less than 24 hours’ notice) will result in the session or credit being forfeited
PT packages are non-refundable once purchased, but may be transferred to another member with the trainer’s prior approval

5. Pay As You Go (PAYG)

Single class bookings are available at £10 per session on a pay-as-you-go basis
PAYG payments are non-refundable once payment has been processed
PAYG bookings are subject to class availability and may not be guaranteed if the class is full

6. Payment Terms

All payments are processed securely via Stripe. HVPT does not store your card details.
Membership fees are collected monthly by card payment or Direct Debit via Stripe
Failed payments will be automatically retried. Persistent payment failures may result in your account being suspended until the outstanding balance is resolved
All prices are quoted in GBP (£) and are inclusive of VAT where applicable

7. Code of Conduct

All members, guests, and visitors must adhere to the following standards while on HVPT premises:

Treat all staff, trainers, and fellow members with respect at all times
Follow all safety instructions given by the trainer
Wear appropriate gym attire and clean indoor footwear
Wipe down all equipment after use
No filming or photography of other members without their explicit consent
HVPT reserves the right to ask anyone not following these rules to leave the premises immediately, without refund

8. Health & Safety

All members must complete a PAR-Q (Physical Activity Readiness Questionnaire) before participating in any sessions
Members are responsible for disclosing all relevant medical conditions, injuries, or medications that may affect their ability to train safely
Members train at their own risk and should consult a medical professional if they are unsure about their fitness to participate
HVPT staff are first-aid trained and emergency procedures are in place at the facility

9. Liability

HVPT accepts no responsibility for the loss, theft, or damage of personal belongings brought onto the premises
Members are strongly advised not to bring valuables to the gym
HVPT does not provide secure storage facilities for personal items
HVPT’s liability for personal injury is limited to the extent required by law
Nothing in these Terms excludes or limits liability for death or personal injury caused by negligence, or for fraud or fraudulent misrepresentation

10. Intellectual Property

All content on the HVPT website, member app, and social media channels — including but not limited to text, images, logos, videos, and training programmes — is the intellectual property of Harry Vine Personal Training and is protected by copyright law.

You may not reproduce, distribute, modify, or republish any HVPT content without prior written permission from HVPT.

11. Governing Law

These Terms are governed by and construed in accordance with the laws of England and Wales. Any disputes arising from these Terms or your use of HVPT services will be subject to the exclusive jurisdiction of the courts of England and Wales.

12. Changes to These Terms

We may update these Terms from time to time. When we do, we will update the date below. Continued use of HVPT services after changes have been published constitutes acceptance of the revised Terms.
